[why2025-terrain] Detail planning tent buildup and teardown WHY2025

Hallo Jeroen,
Dank voor je duidelijke documenten. We gaan het over onze planning leggen en laten je weten waar we nog eventueel veranderingen zouden willen zien.
Nog even voor de zekerheid:

Vanaf vrijdag 01-08-2025 00:00 uur hebben we het hele terrein ter beschikking. De data in de Excel zijn de uiterste data dat het gereed moet staan. Eventueel eerder bouwen moet mogelijk zijn.
  *
Het terrein is beschikbaar tot zondag 17-8-2025 18:00 uur dan moet alles weg zijn. (Op wat rest zaken na die dan op de eerstvolgende werkdag opgehaald moeten worden).

Dat klopt nog?

We zijn er sort of uit met LQF qua in elkaar schuiven van afbraak en opbouw op 31-7-2025 van LQF en WHY.
Daan ziet geen problemen maar moet nog even final check bij LQF productie team doen en natuurlijk de tegenvallers & meevallers tijdens de afbraak van LQF.

Attached tekening van de posities van de grote tenten, de pagodes van sponsoren en villages worden later ingetekend..

Als het goed is kunnen jullie in deze xls kijken en daar staan in bruin een anta data in die we graag wille wijzigen qua op en afbouw.
Zouden jullie kunnen kijken hoe dat uitpakt voor jullie ?

Bij het afbreken van de Sponsor tenten en village tenten moeten we tijdens het afbreken op 13-8-2025 tussen 07:00 en 13:00 kijken welke leeg zijn en daar beginnen.
Na 13:00 is het jammer dan moeten ze leef zijn.

Hi,

I just sent a mail to Daan to verify the last dates of tents to be built on the 31st.
As soon as I have the answer from LQF I will contact Sjoerd about the fine tuning of the dates.

@Members of team terrain, can you set up contact with Steffen and start discussing how you want tents to be laid out ?

Thanks for the introduction. I would like to connect you to Steffen and Sjoerd.

@Steffen van den Aardweg<mailto:steffen at maessen-ts.nl> is our technical designer for this project. He is going to make a layout of all the individual tents. It is important for him to know where all the materials like entrances (ramps) and wind-bracing (steel crossbars) need to be placed.

@Sjoerd Wildering<mailto:sjoerd at maessen-ts.nl>will coordinate the planning regarding the equipment, building up and breaking down of the tents. He likes to know what we can delay and where we can gain time.

Can you please share the map and the planning you have so far. It does not have to be the final version. We just want to start preparing. We will also not have them finished right away. It will take a few weeks. When we are finished, we will send it to you for approval.

Vincent,

As discussed today over the phone about the extra tents and other materials I would set up contact between you and our team terrain.
Can you add your work planner/tent layout designer and use a reply all to this email thead so we can all see the communication ?

I just had a long call with out terrain team and we need to discuss the following topics :

  1.  Our ticket sales are going well that is one of the reasons we needed the extra tents I requested today.
It also means that some visitors are coming 1 day earlier than originally planned and leaving 0,5 days later than we originally planned.

Our terrain team is looking at the current buildup and teardown dates and making a more detailed buildup and teardown planning.
They are looking/requesting some changes in  buildup and teardown dates of tents.

I have asked them to compile the complete list of their changes I can share that, so we can discuss the possibilities in one go.
  2.  We have planned the Pagode teardown on Wednesday the 13th of August, due to visitor security they want a ban on forklift traffic until Wednesday the 13th 13:00.
How much manual work can we do on tearing down various tents pagodes/alu halls without manitou driving ?
I have asked our terrain team to make a list of tents we can have empty on the morning of the 13th, for instance at least some of the pagodes and the workshop tents.
