At this point it has been decided *not to hand out badges to kids under 6*.
So this has to be put into ticket and entrance handout procedure (that's
why christel is in the CC).

Also it is clear now that we will hand out not just at entrance, but also
in the badge tent. So I would like to make sure you have that on your
radar, we do need the posibility to double scan the tickets for handout of
"badge related materials" in the badge tent. And a scanner in the tent.

The current idea is to hand out badges still at the gate, and have a "No
e-waste" lane.

Thanks for the explanation - i'll get back to you regarding the scanners
asap.

Regarding the badge numbers: I did take a quick inventory of our tickets...

If we decide that Sponsor tickets are not entitled to a badge (as they are
beyond the 3750 either way) and also decide that the kids tickets 0-5 and
6-11 are not entitled to a badge, we are getting pretty close to 2500

3750 total (without sponsors)

- 86 0-5

= 3664

- 152 6-11

= 3512

(-89 12-15)

(= 3423)

Not saying we should do this, since I can see how the badge could be cool
for kids 6 and up; but I'm sure it's more the parents that the 0 to 5 year
old kids/babies complaining of they don't get a badge ;-)

We can also limit the check-in list in the beginning to certain tickets and
add more later on, btw.

First off, thanks for the fast reply.

For your question. No the barcode does not need to be different, we just
need to be able to validate the badge seperate. And prevent handing out
badge twice. So I think your suggested solution should just work fine.

I will wait for the scanner situation to get out of the fog, for now I just
want you to be aware of the request and I am sure you will come up with a
solution.

On the amount of badges, it is correct that we only have 3.500 badges in
the pipeline, that means there is a shortage of 250 badges. This has been
known by PL for a while now. And the route we are now on is that we are
going to have a request to every person that enters the event to think
about ewaste prevention and not pickup a badge.

However when we run out, we are out. Not sure how we are going to
communicate this yet, this is something that needs to be decided yet.

Hi Robert,

Right now, the whole scanner situation is a little blurry, since the
devices I wanted to purchase have still not been delivered.

But I have requested rentals from a friendly organisation and they told me
they would ship over "a case full". Since I have two 15kg UPS packages
coming my way from an unknown sender/location, I have a small hope that
this is indeed the scanners I was promised and that they turn out to be a
metric shitton ;-)

tl;dr: I am not sure yet, I can guarantee you two scanners - but we'll work
something out. Give me a few more days until I know how many devices we can
work with.

Regarding the badge barcodes: Do they absolutely need to be separate
barcodes/tickets? We have already sent out the tickets and sending another
set of tickets out now would mean that we have to edit every single order
*and* also issue new invoices for these changes. Not ideal.

We can however put the attendance/entry barcodes on a separate badge
check-in list, so that they can be validated twice: Once at the entrance
and once at the badge tent. Would that work for you?

There were also talks that you might not have enough badges for all 3750
attendees. Is that still a possibility?
